WBS (Work Breakdown Structure)


1. Work Item Details: ( Global )

This process is used to create a new Work Item.

Grouping Facility will be given to the user and only the Last Level Work Items will be used for all the transactions.

In Last Level Work Items, UOM and Measurement Type should be given.

Base rate and responsible department will be captured here. Maximum of three responsible departments can be given for a single Work Item.

2. Work Group Details: (Global )

This process is used to create a new work group and grouping facility will be provided. Last Level items will be treated as Work Groups and will be used for further transactions.

UOM and Base Rate should be entered in last level Work Items. The Sub Contractor and Piece Rate Worker Contribution will be provided for further reference.

3. Work Group vs Work Item Templates ( Global )

This is a Template used to map the Work Items with a Work Group and this template can be used at PCE. Grouping Facility will be given and Last Level Templates will be considered for further transactions. Conversion factor is entered to arrive the Work Group Quantity.

4. Scope Master:

Scope should be created by using the Scope Master and this Scope can be used in all the Jobs. Grouping facility will be given to group the Scopes. Last Level Scopes will be used to map the Job. UOM should be given for the Last Level Scopes.

The user can make a Scope as Inactive, so it will not be referred for further jobs, which was created already.

5. Scope Definition:

Scope Definition process is used to create a Job Specific scope or job specific IDC to monitor the entire activities. By this provision, Scope can be allocated only when PCE or PCE Revision is initiated.

Client Bill of Quantities vs Scope should be defined. Mapping of multiple BOQs with a Scope will be done. If there will be any change in UOM, then the conversion factor should be applied for each BOQ.

The work group and work item will also be specified in the scope definitions. The quantity of Work Item quantity will add the quantity of Work Group based on the conversion factor and the corresponding Work Group quantity will add the quantity of Scope Quantity. This Scope quantity should be equal to the sum of mapped BOQ that will be based on the Conversion Factor. The UOM in Work Group or Work Item will be specified as Lump Sum then Amount can be entered directly.

The Work Group and Work Item Rate can also be specified in the Scope Definitions.

6. Resource Allocation:

The Resource type will include Material, Machinery and Formworks. Co-Efficient Factor will refer the Total Resource Quantity required for the Scope. Group Level Resources can also be allocated to the Scope. UOM should be selected for Group Materials. If the Resource Type is Machinery & Formworks ( ie Usage based Resources) then the Duration and Duration UOM should also be given.

In Work Group, the Contribution Percentage should be entered for each work group to specify the Sub Contractor or Piece Rate Worker. The Contribution Percentage will be entered in Work Group Master or Work Group Template. It will be shown by default.

Import & Export for BOQ Mapping and Work Group, Work Item against Scope will be provided. View and Edit can be done in both the Screen & Excel.

7. EPC

Scope has to be created in the Scope Definitions and grouping facility will be provided to create multiple levels against Scope itself. BOQ mapping will not be provided and Scope will be treated as BOQ for Invoice and Scope is specific to the Job. Any level Scope can be claimed for Invoice. Scope can be entered Lump sum amount also without having Work Group, Work Item and Resource allocation. Work Group and Resources can also enter as Lump sum without entering the Item Level (Detailed Analysis). But only after breaking the Scope to Work group, Work Item & Resources to Item Level (Detailed Analysis) the actual values can be entered. Only percentage based entry will be allowed to enter without Detailed Analysis.

Activity Types and Activities should be created and mapped against each Scope to view multi- level grouping against the combination of each Activity. Planning and Scheduling can be done as regular Jobs. Scheduling can be done at any level Scope. Scope code will be generated based on the Order of the Activity Type and the code of the Activity values.

8. Weightage Wise Progress Monitoring

Provision will be given to enter the Scope weightage for first level Scopes, against the Job and also provision to enter the Scope weightage for child level Scopes against corresponding group Scopes. When actual progress entries are updated, based on the completed weightage entered for child level Scope, the system will calculate the completed weightage for Parent level Scope and against the Activity types. Instead of giving the actual percentage, a common multiplication factor can be used against Job to arrive the weightage.
